Datasheet 0020 - TROPOS Export Documentation

Export documentation can be prepared directly with minimum keying leading to fewer errors, quicker deliveries and prompt payment.

TROPOS Export Documentation

Global Trade Administrator (GTA)

As every exporter knows, exporting can involve the producing a myriad of forms for customs, shipping and banking purposes. To ease the burden of producing these documents, SSI has partnered with i2i, one of the leading suppliers of export document systems and a SITPRO Accredited Licensee.

GTA was developed by GTP to meet clients’ needs to use data from their business systems to provide accurate and timely information for commercial and shipping documentation. GTA was designed from first principles to integrate with leading ERP systems and has been installed in hundreds of sites, in industries including discrete manufacturing, retail, pharmaceuticals, distilleries, food processing, chemicals and many others. It enables the appropriate export documentation to be prepared quickly and accurately, contributing to earlier deliveries and prompt payment.

Standard forms are available for companies using freight forwarders to produce specialist documents. For export departments that produce all documents, additional document sets are available to cover certificates of origin, hazard documents, transit documents, C88 (SAD), AAD, consular invoices, insurance and bank documents. GTA prints on plain paper, and the implementation package includes customising with the clients company logo and digitised authorisation signature, meaning that for most documents pre printed, multi-part stationery is no longer required.

GTA Additional Modules

Additional optional modules are available to provide an extended, highly integrated export document and information management solution.

  • Multi-User - GTA is a multi-user system, and additional concurrent user licenses can be purchased for larger shipping ad export departments.
  • Connect to NES– the HM Customs and Excise New Export system (NES) requires exporters to submit electronic declarations prior to shipment of goods. Other forms of declaration are no longer allowed. This module can give substantial savings compared with paying shipping agents’ fees for this service.
  • Intrastat - The Intrastat Module (GTAi) enables intrastat data to be submitted to HM Customs & Excise within an EDI message on disk or via email, resulting in major savings of time and effort. The recent withdrawal of the Intrastat Plain Paper Schedule concession means that any computer generated forms which are not an exact copy of the official pre-printed form will be rejected by HM Customs and Excise. GTAi is also available as a standalone product.
  • Connect to E-Cert - The Connect to E-Cert module has been specially designed to link directly with the British Chamber of Commerce E-Cert application. E-Cert is a web-based service enabling UK exporters to reduce the application process for European Union (EU) Certificates of Origin from around three days to just a matter of hours.
  • Connect to E-mail - The Connect to E-mail module enables high quality shipping documents to be distributed using standard email applications. The module intercepts the required documents to be emailed and creates a compressed file containing all the detail required for the recipient to view and print an original quality document.
  • Archive Module - The Archive Module has been designed to enable documents to be stored and then retrieved at a later date. Documents will be stored as print batches related to shipments. The archived print batches can be sorted by key information (such as date or shipment reference number) to enable easy selection.
  • Connect to TNT Partnership - The Connect to TNT Partnership Module enables data to be sent directly to the TNT Partnership application enabling freight to be tracked in transit.
Connect to NatWest Bankline - The Connect to NatWest Bankline Module enables data to be sent directly to the NatWest Bankline application enabling Letters of Credit and Outward Bills to be issued electronically.
  • Data Access - The Data Extract Module has been designed to enable data to be extracted and analysed using Microsoft Access. The process is simple, seamless and extremely flexible.

TROPOS Export Link

SSI has integrated TROPOS and specialist third party export documentation systems, including SPEX®, Exportmaster and GTA via the TROPOS Export Link, which passes invoice and other related data from TROPOS to the document creation application.

Data can be extracted for individual invoices or for whole shipments. To give time for the necessary approval to be gained from official foreign bodies, shipments can be created in TROPOS, the information extracted and the required documents produced a number of days in advance of physical despatch.

The Export Link has been designed to automate the generation of documents with no re-keying and minimal additional data entry requirements.
